JOB ALERT: Administration Executive Needed

 

The Marie Keating Foundation provides cancer information, awareness and support services free of charge to the general public throughout Ireland.  As part of its ongoing development, the Foundation wishes to recruit a new Administrative Executive to assist us in our ongoing growth of the Foundation.

 

Role Profile: Administration Executive

Reporting to: Finance Manager

Responsible For: The Administration Executive will be responsible for coordinating a number of Human Resources, Operations and Accounts activities on behalf of the Foundation. They will also assist in providing administrative support to the Finance Manager and MKF Directors as needed.

Main Purpose of the Role: The main purpose of the role is to manage a range of administrative tasks in an efficient manner. We are seeking a highly organised individual who has a proven ability to multitask and work on their own initiative.

Location: The Marie Keating Foundation’s office is in Lucan, Dublin though flexibility will be afforded to the individual to work from home on some days of the week.

Contract: Full time, permanent

The role is subject to successful completion of a 6-month probationary period. Salary:  €24,000 – €27,500 commensurate with experience.

 

Key Responsibilities:

 

HR Function:

  • Updating Staff Hand-book and HR related policies and procedures
  • Record and Maintain Annual Leave for all MKF Staff
  • Assist in recruitment of new staff
  • Assist with payroll expenses & timesheets
  • Agree and review staff entitlements
  • Updating / streamlining MKF policies & procedures

 

Operations:

  • Liaising with landlord and tradesmen in relation to building maintenance
  • Managing mobile & office phones
  • Office equipment maintenance
  • Stationery ordering
  • Coordination of IT support through external IT/ Helpdesk Provider
  • Purchasing and updating of office and IT equipment
  • Managing relationships with external suppliers

 

Accounts:

  • Daily receipting of income & email acknowledgments in CRM system (MS Dynamics)
  • Operate a Purchase Order system

 

Other

  • Other ad hoc duties and staff cover (e.g. answering phones and managing Foundation emails) as required
  • Assist with MKF fundraising or cancer awareness events
  • Provide cover on other Nursing Services, Fundraising, Communications teams, as required

 

 

Knowledge, Experience, Skills and Competencies:

Essential:

  • At least 4 years of work experience in a similar roll
  • Diploma or similar qualification in relevant discipline
  • Experience of working with MS Word, Excel, Outlook and Powerpoint
  • Experience with a CRM system (preferably MS Dynamics)
  • Excellent verbal and written communication skills
  • Ability to work individually and as a member of a team.
  • Ability to work with different online platforms
  • Experience of or interest in the Charity sector
